How this
service works

Around 40% of Bookings Happen When You Are Closed

This is the number that decides whether a booking system pays for itself. Roughly four in ten appointments are scheduled outside normal business hours — evenings, weekends, the gap between finishing work and going to bed. A phone line closes at five. A booking page does not. If the only option at 9pm is "call us tomorrow", a meaningful share of that intent simply evaporates, because the person was not thinking about you tomorrow. Consumer preference has moved the same way: surveys now put around two thirds of people preferring to book online rather than call, up from a little over half a few years ago.

No-Shows Are Bigger Than Most Owners Estimate

A systematic review published in Health Policy covering 105 studies put the average appointment no-show rate at around 23%. A separate twelve-year study across ten US clinics, published in BMC Health Services Research, found a mean of 18.8%. Outside healthcare the range runs roughly from 10% in financial services to 30% in salons and fitness. Whatever your figure, it is revenue that was booked, prepared for, and then did not arrive — and unlike most business problems, the interventions are cheap and well documented.

Reminders Have the Best Evidence Behind Them

A Cochrane systematic review on mobile phone messaging reminders found that SMS reminders increase attendance compared with no reminders, with an effect comparable to phone-call reminders — at a fraction of the staff time. That is about as solid as evidence gets in this area. Pair it with one-tap rescheduling: when someone gets a reminder and realises they have a conflict, the honest reason they no-show is that cancelling feels awkward. A link that reschedules in under a minute removes the social friction, and converts a lost slot into a moved one.

Usually the Answer Is Connecting What You Already Run

Most businesses booking appointments already pay for something — Vagaro, Booksy, Fresha, a practice management system, a calendar the whole team lives in. The instinct to replace it with something custom is usually wrong and always expensive. Connecting the website's booking flow to the platform already in use keeps the staff workflow intact, keeps the data in one place, and removes the training problem entirely. Tell us what you run before we quote, because the answer changes the price and occasionally the answer is that you need a better booking page rather than a new booking system.

On Deposits, We Are Not Going to Quote You a Number

Deposits work. Every source agrees on the direction and almost none agree on the size — published figures for the reduction in no-shows range from under 30% to over 70% depending on who is counting and what they sell. Quoting one of those as though it were established would be false precision, so we will not. What we will say is that a deposit collected at booking is straightforward to build into the flow, that it makes most sense on higher-value appointments, and that it changes the psychology more than the economics. Salons and clinics tend to feel it first — see the salon and dental pages for how each handles it.

FAQ

Questions, Answered Directly

The mechanism is straightforward rather than magical: roughly 40% of bookings are made outside business hours, and without a booking page those people have to remember to call you later. Some do. Many do not. The gain is mostly capture of intent you were already generating.

For higher-value appointments, usually yes. The published figures on how much it reduces no-shows vary too widely to promise a number, but the direction is consistent and the build cost is small. For low-value or first-contact bookings, a deposit can cost you more enquiries than it saves slots.

Automated reminders have the strongest evidence — a Cochrane review found SMS reminders improve attendance about as much as a staff phone call. Sending them 24 to 48 hours ahead, and making rescheduling a single tap, does most of the work.

Yes, that is normally the first thing we wire up, since double-booking is itself a cause of missed appointments. Payment collection through a gateway is handled in the same flow where deposits are being taken.

WebBizora booking websites start at $2,999 and include an appointment system that works on a phone outside business hours, integrating whatever scheduling platform the business already runs on.

Maintenance plans

What Website Maintenance Costs Here

Monthly, published, and cancellable. The hard part of comparing maintenance quotes is that “maintenance” means something different at every supplier — so each plan below lists what is actually in it, not just a number.

Published 2026 guides put small business maintenance at roughly $50–$150 a month for basic cover, $150–$400 for a standard plan and $400–$1,000+ for full service, with ad-hoc freelancer work at $50–$150 an hour. That last figure is the one worth holding onto: ten small changes billed hourly costs more than a year of Essential Care. Plans are monthly, there is no minimum term, and hosting stays in your name throughout.
